Controller and scope
The controller for the activities described here is Αθλητικός Σύλλογος Φοίνιξ, presented on this website as Phoenix Boxing Club. The contact person for personal-data questions and requests is Thodoris Ritsakis, via the same email address. This notice covers browsing the website and the online trial-session booking process.
Trial booking
For bookings, we use the adult applicant’s full name, email address and phone number, the selected session and the information needed to administer the request. We use them to handle the request and communicate about the trial session. We do not use booking details for newsletters or advertising, or pass them to Greekboxing. Required fields are needed for the online process; alternatively, you may contact the club by telephone.
For a minor, a parent or guardian submits the online request using their own contact details. The form does not request health data or medical certificates. Please do not send such information through the form or routine booking correspondence.
Legal bases
Necessary handling of your request is based on providing the service you request or taking related steps before it, under Article 6(1)(b) GDPR. The limited repeat-booking check is based on the club’s legitimate interest in protecting fair access to available trial sessions, under Article 6(1)(f). Optional features that require consent are enabled through your corresponding choice.
Retention
For a successful booking, the existing booking record contains the adult applicant’s name and contact details, selected session, language, status, acceptance time and expiry time. These fields support the trial, related communication, session capacity and the limit of two online bookings per normalized email address or phone number. The six-calendar-month period starts when the booking is successfully accepted. The record stops counting at its exact expiry even if the daily cleanup has not yet run, and it is deleted in the next daily cleanup, normally within 24 hours. It is not used for advertising. Related booking emails are handled separately and deleted manually when no longer needed, no later than the corresponding six-month period. Deletion from the active database or mailbox does not mean immediate removal from time-limited technical backups.
Providers and optional content
- Cloudflare: hosting, content delivery, security and D1 booking database; receives ordinary connection and request data needed to provide these services.
- FormSubmit: receives the booking details needed to deliver the club notification email after a successful request.
- Google Maps and YouTube: load only after the corresponding optional choice; the provider then receives technical connection data such as the IP address.

Your rights
Depending on the legal basis and applicable conditions, you may request access, correction, erasure, restriction or portability and object to processing. You may withdraw consent where used. Send requests to phoenixboxingclub63@gmail.com. The club normally responds within one month, subject to applicable exceptions. You may also complain to the Hellenic Data Protection Authority ↗.
